Event insurance is very important. We all hope that every event will go smoothly and have a
perfect day, but the fact of the matter is life is unpredictable.
Some things, like nature, are outside of our control, and damage to people or property can
occur no matter how carefully we plan. For example: even though you properly weighed
down your tent, an unseasonably strong wind could blow it over and knock into something,
or worse, someone, and cause damage - that is where insurance comes in.
There are 4 guidelines to follow when taking out a policy with your insurance agent:
1. You must submit “a Certificate of Insurance (COI) evidencing an Occurrence
Based General Liability Insurance Policy with a minimum of $1,000,000.00 in
coverage” and “set forth the date(s) and location(s) of the event.”
This means that your insurance agent will provide you will a policy that will last for the
entire event, including setup and breakdown, and that the policy will be for at least one
million dollars. Here is an example of what that part of your COI will look like:
In this example the organizers chose to have a policy that covered up to $3,000,000 in total,
with occurrences of $2,000,000. You can always choose more insurance, but you cannot
have a policy that is less than $1,000,000 for each occurrence.
This organizer had liquor available for sale at their event through a licensed vendor- that is
why they are covered for “Host Liquor Liability”. Their licensed liquor vendor had to acquire
“Retail Liquor Liability” coverage in their individual policy. If your event does not have
liquor, this will not apply to you.
Keep in mind that the “Deductible” is what your organization will pay out before the
insurance will kick in.
2. Your insurance “must list the City of Bayonne, 630 Avenue C, Bayonne, New
Jersey as the Certificate Holder”.
This is an important piece of information that your insurance agent will need. It will be
listed on the same policy page as your event information:
3. Your insurance “must name the “City of Bayonne, its oƯicers and employees”
as additional insureds”.
You will see this executed on a supplemental schedule (an additional page), like so:
4. This is the basics. You may still be required to provide “any additional insurance
deemed necessary by the Law Director of the City of Bayonne. If applicable,
additional insurance may include Automobile Liability and Workers’
Compensation insurance.”
